Metropolitan is one of the UK`s leading providers of affordable housing and care and support services. We employ over 1,600 people to manage and develop our large portfolio of nearly 38,000 homes serving nearly 75,000 customers across London, the East Midlands and the East of England.

We are looking for an experienced team assistant to provide administrative, secretarial, and first-line support to nominated Directors and Heads of. You will be the first point of contact for other Directors, senior staff and other internal and external stakeholders.

Main Accountabilities:

Day to day support and stakeholder liaison

-Support the day to day requirements of the Director.
-Act as primary point of contact for post, telephone calls and queries on the Director`s behalf, bringing relevant matters of importance to their attention.
-Process incoming communications and messages accordingly.
-Ensure visitors are looked after in terms of car parking and refreshments.
-Co-ordinate and act as a support and information point for projects and business
change rollouts.
-Ensure that services provided maintains and enhances Metropolitan`s reputation in the market place.
-Support events and meetings as required.
-Close working relationship with other Business areas, notably; Governance, HR, Facilities and IT.

Diary and travel management

-Arrange appointments and manage electronic diaries so that time is utilised effectively.
-Coordinate travel/hotel arrangements including booking train tickets when required.

Process information and data

-Devise, maintain, and regularly review an effective filing and retrieval system so that
information can be accessed easily and is accurately stored.
-Process requisitions, receipts and invoice approvals using IT system.

Correspondence management

-Ensure the composition and typing of documents (reports, letters, schedules,
presentations etc)
-Arrange the signing and sealing of legal documents as required.
-Arrange despatch and delivery of critical documents, bids, reports, etc.

Meetings and event management

-Organise and service meetings as directed. This includes the preparation and
distribution of agendas and papers as well as taking, producing and distributing
minutes, preparing meeting rooms and providing refreshments when required.
-Take minutes at disciplinary hearings, complaint panels and other significant meetings.
-Assist with internal and external meetings, away-days and events as requested.

Key experience and qualifications required

Essential Criteria:

-Considerable administration, secretarial and EA/PA experience.
-Intermediate IT Literacy but with advanced Word skills.
-First class communication skills, both written and oral.
-Literate and numerate with exceptional organisation skills, logical and forward thinking.
-Excellent prioritisation skills and attention to detail.
-Effective time management skills.
-Experience working with multiple Directors.
-A proven ability to take accurate minutes of meetings.

Desirable Criteria:

-The experience should ideally have been gained at a senior level.
