This role

  • Provides the day to day administrative services to the Executive Director providing diary management and travel arrangements as necessary. This will include taking minutes, drafting agenda and distribution of action points and any additional documentation on the Executive Director’s behalf ensuring the correct templates / house style have been utilised and that any legal requirements have been adhered to

  • Will effectively manage the email inbox of the Executive Director ensuring that the correspondence is attended in due time and that it is delegated to the correct persons.

  • Organizes and supports the preparation work for internal and external meetings, away-days and Partnership events as requested

  • Responsible for maintaining key external stakeholder relationships liaising with Board members, MPs/Commissioners, committees and customers

  • Manages the departmental events, particularly with booking rooms, ordering refreshments, setting up equipment and greeting colleagues.

  • Supports departmental project activitiesby(including business change), and by usingproject plans will identify when projects or tasks are at risk of going overdue and notify the Executive Director

  • Process invoices, procurement requests and other financial transactions, maintain, collate and report on departmental budgets for the information of the Executive Director and SLT.

  • Will act as a stand-in for other Executive Directors’ executive assistants

  • Will recruit, induct, develop and manage the performance of the team administrator/assistant to ensure that the support required is provided in line with the business needs.

  • Undertake regular staff development and professional updating

  • Demonstrable success in partnering with and supporting the business through strategic change
