The Role

This is an exciting opportunity for someone to join us. The Estate Services Team Leader is a new role to lead and manage a team of Estate Contract Officers responsible for the on-site inspections of all internal and external communal areas on our estates to ensure that an excellent standard of estate management is provided and maintained. Ensuring that all health and safety issues identified are prioritised by our maintenance contractors and reported by the ECOs.

Full Job Description 

To visit all the TCH estates and blocks on a six-monthly basis with the relevant contractors to ensure that standards are maintained across all the Estates and Contractor, sharing best practice with all contractors.

Complete inspections on a geographical area within Kent or Sussex within a specified area and provide cover for the Leave and absence of the ECOs.

To be responsible for the effective management of all estate service contracts for our properties on a day-to-day basis, attending monthly meetings with the Contractors and the Neighbourhood Services Manager.

To utilise technological advances to meet the changing needs of our customers and drive value and efficiency whilst ensuring our services remain equally accessible for those that cannot self-serve

KEY ACTIVITIES:

 

  • Responsibility for the day-to-day line management of the Estate Contract Officers; contributing to setting priorities as well as ensuring the achievement of performance standards and key performance indicators (KPIs) to deliver corporate and business plan objectives.
  • To coach and develop individuals within the team to drive professionalism, knowledge, and performance. To undertake one to ones with each staff member monthly, that will inform the appraisal report for each member of staff.

 

 

  • Monitor performance of the team’s activities to ensure the achievement of agreed targets. Primarily using Microsoft office and Type Form systems reports. But also, by way of regular monthly meetings to ensure the standards are being meet across all areas.
  • Work with the Neighbourhood Services manager and the Neighbourhood Housing managers   to ensure that the estate improvement programme is effectively managed and delivered.
  • Work collaboratively and effectively with other areas of the business and external partners to deliver estate management services that achieve a range of positive outcomes for customers and the organisation and supports tenancy sustainment. To include ensuring the ‘extra value’ from each contractor is attained and noted.
  • Effectively manage all estate services contracts, for grounds maintenance and cleaning. Assisting to liaise with the Managing agents and Repair’s contractors.
  • Identify and apply service improvement opportunities to support the Operations Directorate in achieving agreed service levels and business plans as well as improving the customer experience.
  • Ensure effective and accurate records of customer contact and information are maintained on Dynamics 365 and that information is used effectively to improve services and deliver positive outcomes for customers and the business.
  • Contribute to team, departmental and inter-departmental working groups as required.

 

 

  • Contribute to and champion our digital strategy by supporting digital engagement with our customers and promoting every opportunity to become digitally included.
  • Manage the Team to support the maintenance of good records for the keys, codes, and fobs for access to all the blocks. Work in conjunction with the Regional Administrators to ensure sufficient are available to access. Ensuring that the data base is kept up to date.
